This policy explains what personal data we collect through soferpersonalcluj.ro, why we collect it, who we share it with, how long we keep it and what you can do about it. If anything is unclear, call us and we will explain.
1. Who is responsible for your data

We are not legally required to appoint a Data Protection Officer. For any request about your data, write to the email address above.
2. What data we collect
2.1. Data you give us
Through the booking form (home page): name, email address, phone number, ride date, departure time, pick-up town, destination town and, optionally, a description of the service you need.
Through the contact form: name, email address, phone number and your message.
By phone or WhatsApp: the data needed to arrange the ride (name, phone number, pick-up and drop-off addresses, relevant details such as a child's age so we can fit the right car seat).
2.2. Data generated automatically
Visitor counter. To know how many people visit the site, your IP address and browser type are combined with the current date and a secret key, then immediately turned into an irreversible code (a hash). Only that code is stored in our database, never the IP address. The code changes every day, so we cannot follow the same person from one day to the next and we cannot reconstruct the IP address from it. We do not use Google Analytics or any other tracking tool.
Server logs. The server automatically records incoming requests (IP address, page requested, time, browser type) for troubleshooting and protection against attacks.
Price calculator data. When you use the calculator on the Prices page, the addresses you type are sent to the mapping services listed in section 5 so the distance can be computed. We do not store those addresses.
2.3. What we do NOT collect
We do not ask for your national identification number, ID document details or bank card details through the website. We do not collect special categories of data (health, beliefs, orientation and the like). The site is not aimed at children under 16 and we do not knowingly collect data from them.
3. Why we process your data and on what legal basis

We do not send newsletters and we do not use your data for marketing. If we ever do, we will ask for your consent separately, and you will be able to withdraw it at any time.
4. How long we keep your data
- Booking requests that did not result in a ride
- 12 months from the date of the request, then deleted.
- Data on completed rides and the related tax documents
- For the period required by Romanian tax and accounting law (generally 5 years, and 10 years for certain categories of documents, under Accounting Act no. 82/1991 and the Fiscal Code).
- Messages received through the contact form or by email
- 12 months from the last exchange, if they did not lead to a booking.
- Server logs
- Up to 12 months.
- Visit statistics
- The codes described in section 2.2 do not allow anyone to be identified, so they are kept indefinitely, as aggregate figures.
5. Who we share your data with
We do not sell or rent your data to anyone. We share it only where it is necessary to make the service work:
- Our hosting provider: the server running the site and the database is located in Romania (Cluj-Napoca).
- Cloudflare, Inc. (USA), delivers the site and protects it against attacks; by the nature of the service, it sees visitors' IP addresses.
- Google Ireland Ltd. / Google LLC: we use Gmail for internal booking notifications and Google Calendar to schedule confirmed rides, which means booking data (name, phone, date, addresses) reaches these services. Google also serves the fonts used on the site (Google Fonts), which receive the visitor's IP address when a page loads.
- Mapbox, Inc. (USA), the OpenStreetMap Foundation and the OSRM project: they receive the addresses typed into the price calculator in order to compute the route and distance.
- jsDelivr: a content delivery network for a few graphical elements of the site (the language flags); it receives the visitor's IP address.
- Accounting and legal advisers: to the extent necessary to meet our legal obligations.
- Public authorities: only upon their lawful request and within the limits of the law.
6. Transfers outside the European Economic Area
Some of the providers listed above (Cloudflare, Google, Mapbox) are companies established in the United States. Transfers to them are made on the basis of the European Commission's adequacy decision on the EU-U.S. Data Privacy Framework and/or the Standard Contractual Clauses approved by the European Commission.
7. Cookies
The site uses a single cookie, lang, which remembers the language you chose
to view the site in. We have no analytics or advertising cookies. Full details are in our
Cookie Policy.
8. Your rights
Under Regulation (EU) 2016/679 you have the following rights:
- Right of access: to find out whether we process data about you and to receive a copy of it (Art. 15).
- Right to rectification: to have inaccurate or incomplete data corrected (Art. 16).
- Right to erasure: to have your data deleted, where we have no legal obligation to keep it (Art. 17).
- Right to restriction of processing (Art. 18).
- Right to data portability: to receive your data in a structured, machine-readable format (Art. 20).
- Right to object: to object to processing based on our legitimate interest (Art. 21).
To exercise any of these rights, write to [email protected]. We reply within one month at the latest. It is free of charge; we may ask for reasonable proof of identity so that we do not hand your data to someone else.
If you are not satisfied with our answer, you have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP), B-dul G-ral. Gheorghe Magheru nr. 28-30, Sector 1, Bucharest, www.dataprotection.ro, or to bring the matter before the courts.
9. Data security
The site runs exclusively over an encrypted connection (HTTPS). Access to the bookings database is protected by authentication and limited to the people who actually arrange the rides. Administrative account passwords are stored as hashes, not in plain text. Public forms are protected against automated bulk submissions.
10. Automated decisions
We do not take automated decisions producing legal effects concerning you, and we do not carry out profiling. The price calculator on the site estimates a fare based on the distance and the vehicle category you choose; the final price is agreed with us in any case.
11. Changes to this policy
If we change this policy, we update the date at the top of the page. We encourage you to re-read it from time to time. Significant changes will be announced visibly on the site.
